When adding a manual assignment in the Spots tab of the SignUp's Organizer view, you may see this warning message when you click "Add a New Participant":
.
The message means that the Participant is already listed on the SignUp's Participant roster or in your Contact List and you should instead select the person from the pull-down Participant list shown.
For example, if Aesha Jones is already on the Participant list, but you click Add a New Participant and try to add that her contact information manually, you will get the warning.
To assign the Spot, instead type the person's name into the search box and choose the name from the pull-down menu list shown.
Assigning Multiple Participants with the Same Email Address
When manually adding assignments in the Spots tab of your Organizer view, only one name per unique email address can be recorded. If multiple participants (e.g., family members) share an email, try one of these options:
Option 1: Add a Participant Without an Email
- Click "Add a New Participant"
- Enter the name and phone number but leave the email field blank
Note: This participant won’t receive confirmations or reminders, so you'll need to notify them manually.
Option 2: Use the "Sign Up Others" Feature
If you enabled "Allow Participants to Sign Up Others" in the Details tab when setting up your SignUp:
- Open the Shareable Invitation Link
- Assign another person using the shared email address
- Important: Log out before using the link, then log out again after saving the assignment.

Option 3: Use Gmail’s "+name" Trick
If the participant uses Gmail, you can create unique email variations that still route to the same inbox by adding "+name" to the original email.
Example:
- Sammy@gmail.com (Original email)
- Sammy+Ella@gmail.com (for Sammy’s spouse)
- Sammy+Jo@gmail.com (for Sammy’s child)
SignUp will treat each as a unique participant, but all notifications will go to Sammy@gmail.com
