What do I do when my Signup has been flagged as having a large volume of past data?

If your account has been flagged as having a SignUp with a large volume of past data, your SignUp is in a potentially problematic state. The large size of your participant data set can cause your activity to load slowly for people accessing from older computers or devices with limited memory. We recommend one of these two options to ensure the site runs quickly and smoothly for your participants:

Keep the SAME SignUp invitation link AND delete days in the past

If it's important that you keep the very same Invitation Link and posted invitation links for the SignUp, then please follow this two-step process to reduce the activity size.

  • Export the SignUp data so you have a record of past activity
  • Delete days in the past

Start by opening your SignUp's Organizer view. (Log in and click the SignUp Title on your Dashboard / My SignUps menu to open your Organizer view.)

 

Export the SignUp data.

  1. Your SignUp participation history will be permanently deleted when you delete past days within your SignUp. Consider running an Export report for your records before deleting past days.
  2. Do so in the Reports tab of your SignUp's Organizer view.

Create a NEW SignUp, with a new Invitation Link, fresh for this season

With this approach you will create an entirely fresh SignUp and re-invite your participants to choose their assignments/Spots. It's a 3-step process:

  • Plan a NEW SignUp
  • Copy your plans from the original SignUp to the new one
  • Invite Participants to sign up 

Plan a NEW SignUp

  1. Login and on your Dashboard tab, choose +Create New SignUp.
  2. Complete Step 1: Details and click Next 
  3. Click "Back to Dashboard" at the top of the page to pause planning.

Copy your plans from the original SignUp to the new one.

  1. Back on your Dashboard, click on the SignUp Title in My SignUps menu to open your Organizer view.
  2. In the Spots tab (List view), click on the date with the plans you wish to copy from and choose the orange Copy link.
  3. In the pop-up, use the Copy To pull-down menu at the top of the screen to choose the NEW SignUp's Title then select the dates to copy to and click Copy. Pro Tip: We recommend planning just 2-3 months in advance as that's about how far out participants realistically know their schedules.
  4. Return to the Dashboard and click on the NEW SignUp Title to open your Organizer view and complete the planning steps - making any needed changes to the plans, details or theme.

Invite Participants to sign up 

IMPORTANT: Once the new SignUp is ready, either Archive the original SignUp or delete all future days on the original SignUp so participants can't accidentally access it.
