How Do I Cancel or Postpone My SignUp / Event?

Need to Cancel or Postpone Your SignUp or Event? Here’s What to Do

We understand that plans can change! Whether you need to cancel an event entirely or postpone it indefinitely, we’re here to help make the process smooth and stress-free.

Otherwise, follow these best practices to ensure clear communication with participants and keep your SignUp organized:

  1. Notify Your Participants – Send a message to inform them about the cancellation or postponement.
  2. Archive the SignUp(s) – Prevent people from accessing the SignUp and keep the plans accessible for future use.
  3. (If applicable) Deactivate the Group Page – Take an entire Group Page offline, if needed.

Now, let’s walk through each step in detail:

 

1. Notify your Participants: Send a message to inform them about the cancellation or postponement.

For a single SignUp, do so in the Messages tab of your SignUp's Organizer view. (Login and click the Organize tab /MySignUps screen, click on the SignUp Title and then go to the Messages tab.) You can choose to send a message to everyone, or choose by participant status, date or shift.

When cancelling multiple SignUps, send the message in the Advanced Messaging screen of the My Tools tab (at the top of the site when you login). Learn how here: Can I a message to participants across multiple SignUps or Group Pages?

2. Archive the SignUp(s):

Archiving a SignUp prevents Participants from accessing it while allowing you to restore it later if needed. Once archived, the SignUp moves to the Archive view of the Dashboard, where no one can sign up or modify assignments.

Archiving a Single SignUp

  1. Log in to your account.
  2. On your Dashboard, locate the SignUp in the My SignUps menu.
  3. Click the gear icon (⚙️) and select Archive from the dropdown menu.

Archiving Multiple SignUps

You can archive multiple SignUps at once from the List View on your Dashboard. Learn how here

Deleting or Restoring an Archived SignUp

If you wish to Delete or Restore an Archived SignUp, first, set the Filter By menu to Archived SignUps. In this view you have the option to Delete or Restore your SignUp by clicking the gear icon (⚙️) and selecting your action.

Important Notes:

    • Deleting a SignUp is permanent and it can't be restored.
    • Participants will NOT be sent a cancellation notice when the entire SignUp is Archived or Deleted. See Step 1 above to see how to Alert Participants

3. (If applicable) Deactivate the Group Page

If you've shared a link to a Group Page, deactivating it will prevent Participants from accessing it while allowing you to restore it later along with all associated SignUps.

How to Deactivate a Group Page

  1. Go to the My Group Pages screen under the Organize tab.
  2. Select the Group Page(s) you want to deactivate.
  3. Click the Deactivate button at the top of the page.

Important Notes:

  • Once deactivated, participants will see a message stating:
    "This Group Page is not currently active. Please check back at a later date."
  • The Group Page will remain inactive until you manually reactivate it.
  • If participants have direct links to individual SignUps on the Group Page, those SignUps will remain active unless you archive them separately (see Step 2 above).
