What do I do when my Signup has been flagged as having a large volume of past data?

Managing Large SignUps to Prevent Performance Issues

If your SignUp contains a large volume of past data, it may cause slow loading times or potential access issues, particularly for participants using older devices or limited-memory systems. To avoid these problems and ensure a smooth experience, we strongly recommend one of the following actions:

  1. Keep the Same SignUp Link – Delete past dates while maintaining your existing invitation link.
  2. Create a New SignUp – Start fresh with a new invitation link for the current season.

Failing to address this issue may result in delays, loading errors, or difficulties accessing your SignUp. If you need assistance, please reach out to our support team.

 

1. Keep the SAME SignUp Link 

If it's important that you keep the very same Invitation Link and posted invitation links for the SignUp, then please follow this two-step process to reduce the activity size.

  • Export the SignUp data so you have a record of past activity
  • Delete days in the past

Start by going to the Reports tab of your SignUp's Organizer view. (Login and in the My SignUps menu on your Dashboard, click the SignUp Title to open your Organizer view).

 

Export the SignUp data

  1. Your SignUp participation history will be permanently deleted when you delete past days within your SignUp. Consider running an Export report for your records before deleting past days.
  2. Do so in the Reports tab of your SignUp's Organizer view.

2. Create a NEW SignUp

With this approach you will create an entirely fresh SignUp and re-invite your participants to choose their assignments. It's a 3-step process:

  • Plan a NEW SignUp
  • Copy your plans from the original SignUp to the new one
  • Invite Participants to sign up 

Plan a NEW SignUp

  1. Login and on your Dashboard tab, choose +Create New SignUp.
  2. Complete Step 1: Details and click Next 
  3. Click "Back to Dashboard" at the top of the page to pause planning.

Copy your plans from the original SignUp to the new one.

  1. Back on your Dashboard, click on the SignUp Title in My SignUps menu to open your Organizer view of the original SignUp.
  2. In the Spots tab (List view), find the date you want to copy from and click on the gear (gear icon.png) menu and select Copy.
  3. In the pop-up, use the Copy To pull-down menu at the top of the screen to choose the NEW SignUp's Title then select the dates to copy to and click Copy. Pro Tip: We recommend planning just 2-3 months in advance as that's about how far out participants realistically know their schedules.

  5. Return to the Dashboard and click on the NEW SignUp Title to open your Organizer view and complete the planning steps - making any needed changes to the plans, details or theme.

Invite Participants to sign up 

IMPORTANT: Once the new SignUp is ready, either Archive the original SignUp or delete all future days on the original SignUp so participants can't accidentally access it.
