Easily Extend Your SignUp Calendar into the Next Quarter
Many Organizers manage year-round SignUp calendars, but we recommend planning just 4–6 months ahead. This helps prevent frequent changes and scheduling conflicts since most Participants don’t plan too far in advance.
When it’s time to extend your calendar, we make it easy to copy your existing schedule into the next month, quarter, or year.
-
Quick Option: Copy full days forward to the new time period in just a few clicks. Learn how here (see #2)
-
Best Practice: Copy individual Spots forward using a repeating schedule. While this takes a little more time upfront, it makes future updates and recurring assignments much easier—any changes to a Spot will automatically apply across all future dates.
Now, let’s walk through how to set up a repeating schedule for the next period.
Setting up a Repeating Schedule
- Go to the SignUp's Spots tab
- Identify Spots to extend into the future
- Set the repeating schedule for all Spots
- Repeat for each unique schedule
1. Go to the SignUp's Spots tab
Start by going to the Spots tab of your SignUp's Organizer view. (Login and in the My SignUps menu on your Dashboard, click the SignUp Title to open your Organizer view).
Select List View at the top of the Spots tab and go to the last week you have planned on your SignUp calendar.
2. Identify Spots to extend into the future
To copy Spots forward, you will edit each Spot to give it a recurring schedule. First choose the first day of the week you want to copy forward (M, T, W, etc.) to reveal all the Spots for that day. Then, to the right of the first Spot, click the 3-dots (...) and select Edit from the pull-down menu to open the Spot's detail's screen where you can make edits to the schedule.
3. Set the repeating schedule for all Spots
Scroll down to the second section of the Edit Spot details screen. Select the dates that this Spots repeats on and add or extend an End Date. Press Save at the bottom of the screen and then repeat this step for each unique Spot listed on this day.
4. Repeat for each unique schedule
Repeat Step 3 for each set of days that follow the same schedule:
-
If each day has a different schedule, you’ll create 7 separate Repeating schedules (one for each day of the week).
-
If some days share the same schedule, group them together. For example:
-
A Monday/Wednesday/Friday schedule and a Tuesday/Thursday/Saturday schedule would require 2 Repeating schedules.
-
-
If every day follows the same schedule (even just Monday–Friday), you only need 1 Repeating schedule.
This ensures your schedule is set up correctly while keeping it easy to manage.
NOTE: If your SignUp has many past dates (with the number of Spots totaling 5,000 or more), we recommend removing some past data. Please learn how in this help article: What do I do when my Signup has been flagged as having a large volume of past data?
